BaseBRU is looking for an Officer Manager/Administrative Assistant. Smooth processes and systems are the key to our success. We’re seeking an Office Manager/Admin. Assistant with excellent organizational skills and a personable disposition to keep us thriving. The ideal candidate will have a natural flexibility in handling day-to-day routines and administrative support.

This position is based in Brussels, Belgium. 4 days a week, on-site. From July 2024.

Responsibilities

  • Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.
  • Serve as the point person for office management duties including: Maintenance, Mailing, Supplies, Equipment, Bills, Errands, and Shopping.
  • Partner with the Managing Director to update and maintain office policies as necessary.

  • Provide administrative support, including scheduling appointments, meetings, and events; booking travel; maintaining file systems; mailing and shipping packages; updating contacts database and employee lists; providing administrative documents and information.

  • Prepare the pre-accounting and be the main contact with our accounting contractor.

  • Keeps management informed by reviewing and analyzing special reports; summarising information.

  • Manage contract and price negotiations with office vendors, service providers and office lease.

  • Manage office G&A budget, ensure accurate and timely reporting.

  • Liaise with facility management vendors, including cleaning, furnitures and other subcontractors.

  • Execute preparation of in-house or off-site activities, like parties, celebrations and conferences.

  • Assist in the onboarding process for new hires.

Qualifications

  • Three or more years in office management and/or administrative assistant
  • Strong time-management and people skills and high degree of flexibility
  • Strong interpersonal skills to interact positively with all employees
  • Organization and the ability to multitask to complete a wide variety of task
  • Attention to detail to ensure tasks are completed thoroughly and correctly
  • Strong written and verbal communication skills
  • Ability to maintain confidentiality of company information
  • Fluent in French and Good English speaking and writing. NL is a Plus.
